Under general direction and supervision of the HR Manager and HR Generalist, performs Human Resources related duties in all the following functional areas: HRIS data entry, file management, training schedules, payroll and benefits liaison, on-boarding and assist with recruiting life cycle. Provides administrative support to the HR Team as needed. This position requires a high level of discretion and the ability to keep information confidential. Incumbent is required to speak, read and write Spanish fluently.
Essential Duties and Responsibilities include the following, other duties may be assigned.
· Provide data entry and administrative support as needed.
· Prepare correspondence as needed.
· Maintain electronic records and hard files.
· Store documents in HR office in accordance with retention policy.
· Maintain the professional and organized appearance of the office.
· Oversee Gear Room to include ordering stock i.e., sweaters, hats, etc.
· Schedule and coordinate meetings as assigned.
· Maintain Company’s Driver’s list updated.
· Processes MVRs for new hires.
· Schedules New Hire Safety/HR Orientation.
· Maintain Share Folder on Network Drive to ensure effective communication with employees and management.
· Produce Monthly HR Newsletter.
· Assist with various research and/or special projects or reports.
· Work with HR Manager on recruiting life cycle (includes posting job openings, sourcing and setting up interviews).
· Applicant Tracking.
· Collaborate with Marketing on existing or new advertising opportunities.
· Uniform Administration for all sites.
· Assist company employee’s with basic needs (Direction, update personnel information, questions etc.).
· Maintain bulletin board current.
· Manage reward and recognition program (Anniversaries, Birthdays, Employee of the Month, and other programs as assigned).
· Manage Poster compliance at all sites.
· Assist HR department with additional task if needed.
Knowledge, Skills and Abilities:
· Considerable knowledge of principles and practices of personnel administration,
· Excellent organizational and interpersonal skills, effective communication skills and an ability to prioritize and demonstrate a high level of accuracy with an attention to detail.
· Able to manage multiple priorities, meet deadlines, and follow through on work assignments with minimal supervision.
· Critical thinking skills and an ability to work independently and as part of a team are essential.
· Ability to exercise discretion, initiative, and good judgment.
· Bilingual (English Spanish) strongly preferred.
· Must have a valid drivers license.
